Once a year, every employee receives new vacation days by law. This can be done either in advance or arrears and is dependent on what has been agreed upon.

Generally, you start by adding vacation days to all employees and then make adjustments on an individual level if it is required.

Adjust the vacation balance on all employees: 

  1. Start by logging in on your QBIS-account.
  2. Then go to System > Time > Salary Handling.
  3. The field Vacation days per year refers to the number of vacation days employees receive when adjusting. The field is pre-filled with 25 days by default, if your company does not have a different policy, the field does not need to be changed.
  4. Under Vacation days allowed to save, the same principle applies as before; the field is pre-filled with 5 days by default if your company does not have a different policy no change is needed.
  5. Check the Vacation Start Date, from which the adjustment starts to be valid.
  6. Under Vacation Activity, you pick which type of activity the adjustment applies to, in this case it is vacation.
  7. Click on the two circling arrows to review and assign employees’ vacation days. In this view, you can see the employees’ previous days, the adjustment and the new vacation balance.
  8. Confirm the balance fo the employees by clicking OK.
  9. Click on Save, at the top right on the screen.
If an employee has negotiated more than 25 vacation days per year, this can be adjusted in the next step, on an individual level.

 

Adjust the vacation balance on an individual employee:

  1. Login on your QBIS-account.
  2. Go to Personnel, in the main menu.
  3. Select the employee whose balance you want to update by clicking on their name in the list.
  4. Then click on the plus-sign beside Time Adjustment.
  5. Under Select Activity, you then pick which activity the adjustment applies to. Next to the salary activity, you can choose whether this applies to the current year, all years, or the last 12 months.
  6. Then click New Adjustment, to the right. After clicking the button, additional fields will appear below.
  7. Select the date for when the adjustment will take effect.
  8. Fill in the number of days covered by the adjustment. Note that it is possible to adjust both positive and negative numbers.
  9. Type a comment (optional), and then click Update.
  10. When you are done with your adjustment, click on Save, at the top right on the screen.
