The Absence Monitor Extension is used to monitor periods of continuous absence registered on an employee’s timesheet.  Using this extension, you can set up monitoring for selected salary activities and set the value for continuous days when an employee or manager should be notified when the threshold is met.

Notes:

  1. Absence monitoring will only work for those employees that are connected to a schedule, e.g., Individual Schedule, HR schedule or a company schedule.
  2. The system will consider any red days.
  3. Only one notification will be sent to the relevant users when the specified number of continuous days absence is reported. This means if the employee continues to press save several times on the timesheet or add more continuous days absence only the first notification will be shown/sent.
  4. You can set up as many monitoring intervals as you want for the same salary activity. For example, you may want to receive notifications for continuous 8 days, 15 days and 90 days for the same salary activity.
  5. If you have set up public holidays in QBIS then these days will be skipped over from the employee’s schedule when analysing if a day has absence reported. For example, if a public holiday falls on a day where the employee is scheduled to work and there is no reported absent activity on that day by the employee this will not break the continuous days being counted.

Steps to Set Up Absence Monitoring:

  1. Go to the Extensions page in the System Control and Activate the “Absence Monitor” extension.
  2. Go to the Salary Handling page under the System Control->Time menu. Then select the “Absence Monitoring” tab.
  3. Select the “+ ADD NEW” button to create a new Absence monitoring activity.
  4. When the dialogue box appears select the salary activity your company uses for registering absence on the timesheet.

Set the Monitoring Period and if you want to track calendar/schedule days and Partial/Full days.

Select who will receive notifications, when notifications will be shown/sent and how (what format) notifications will be sent.

Note: Only active salary activities that are set up to allow Negative Registrations and not Positive Registrations will be available to select from.
