In QBIS, you are able to allocate deviations, e.g. Sickness, OB etc. onto projects to keep track of true costs per project and cost center. Allocations can also be exported information into your salary system (only Hogia Lön Plus for now) together with the normal salary data so that you can follow the costs for each project and department.

Activating the Setting

First, you need to navigate to ‘Salary Handling’ page under “System” module. Then press on “Project Allocation” tab. If you cannot see the tab, please contact with QBIS Support. There you supposed to see a setting to enable the functionality.

Validating Allocation

As a default behavior, all manually allocated time will not be validated against total time of any deviation. This can be lead to register missing allocation hours on a particular deviation. To prevent this, we introduced a setting called “Validate Allocated Time on Close / Approval of Timesheet” which will make the timesheet verify that all deviation time is allocated to projects when you CLOSE or APPROVE your timesheet.

Allocation Method

You can choose one of 3 different type of methods to handle allocations:

Manual: QBIS will not automatically place the deviation time onto your projects. When you register deviation time on your timesheet, you need to manually allocate the time to a selected project(s).

Automatic: QBIS will automatically place the deviation time onto your projects with distributing proportionally.  When you register deviation time on your timesheet QBIS will automatically allocate the time onto predicted projects. You are not allowed to modify the allocations.

Combo (Recommended): QBIS will automatically place the deviation time onto your projects as well as you can also modify allocations per day. When you register deviation time on your timesheet QBIS will automatically allocate the time onto predicted projects.

Allocation Privilege

You can also set the privilege level to allow/disallow users to place the deviation time onto their projects.
