Every year, there are holidays that, for the vast majority, mean vacation leave. The major holidays are regulated by the Swedish Tax Agency, while som days that often counts as holidays are not.

Christmas Eve and New Year’s Eve are two examples of days that are not regulated holidays according to the Swedish Tax Agency, but which usually means that the staff is off. The same applies for bridge days or half days before holidays, since these are controlled locally or by collective agreements.

This guide shows how to import holidays directly from the Swedish Tax Agency, but also how to manually add holidays and half-days to QBIS.

Import holidays directly from the Swedish Tax Agency:

In QBIS, it is possible to make a direct import of regulated days from the Swedish Tax Agency.
To make an import follow these steps;

  1. Go to System > Time > Public Holidays.
  2. Click on Import, all the regulated days are now added in QBIS.
  3. Click Save, all holidays are now available in all of the employees’ time cards.

Manually add holidays to QBIS:

  1. Go to System > Time > Public Holidays.
  2. Click on + Add New.
  3. Name the Day, as it should be shown in QBIS.
  4. Then select the Date that the leave refers to.
  5. Select if the holiday is Recurring or not.
  6. Under Entire Day, select Yes if the holiday refers to a full day.
  7. Select Department, if it applies to all departments (by default) or if it applies to only one specific department.
  8. Type Notes (optional).
  9. Confirm by clicking OK.
  10. Finish by clicking Save.

Note that you can only add one holiday at a time, so this process needs to be repeated for each specific holiday.

Add a half day to QBIS:

  1. Follow steps 1-5 under Manually add holidays to QBIS.
  2. Under Entire Day, Select No and enter the number of Hours that the holiday concerns.
  3. Continue and follow steps 7-10 under Manually add holidays to QBIS.

The import of holidays must be repeated for each new calendar year, as some holidays do not have fixed dates, an example of this is Easter.

In the video below you will find instructions on how to do it in the system.
